Economic Justice Australia ABN 13789701090 (“EJA”, “we”, “us” and “our”) is committed to providing quality services to you and this policy outlines our ongoing obligations to you in respect of how we manage the personal information that we collect from you.
In the course of our activities, EJA collects Personal Information (as defined in the Privacy Act 1988 (Cth) (the “Privacy Act”)) in relation to our clients, staff, volunteers, Board members, supporters (including non-financial supporters), donors and others associated with EJA.
We have adopted the Australian Privacy Principles (“APPs”) contained in the Privacy Act. The APPs govern the way in which we collect, use, disclose, store, secure and dispose of your Personal Information.

What is Personal Information and why do we collect, hold and use it?
The Privacy Act defines Personal Information as information or an opinion about an identified individual, or an individual who is reasonably identifiable:
- whether the information or opinion is true or not; and
- whether the information or opinion is recorded in a material form or not.
We collect Personal Information for the primary purpose of allowing us to perform our functions and activities. We may also use your Personal Information for secondary purposes related to the primary purpose, in circumstances where you would reasonably expect such use or disclosure. The types of Personal Information we collect will depend on your dealings with us, as set out below.
Individuals that interact with EJA for social security assistance and/or advocacy initiatives
The information we collect will be restricted to what is relevant and necessary for the proper discharge of our referral services and to undertake advocacy relating to social security issues.
Volunteers and Board members
The information collected will be used for the purposes of administering an individual’s contribution to the work of EJA, for insurance purposes and in order to send updates about our work, events and appeals.
Donors, Supporters and others
The information collected will be used to process donations, issue tax receipts, manage event registrations, set up online fundraising pages, and send updates about our work, events and appeals.
This information helps us provide updates on our work, manage donor relationships, understand what motivates people to donate and understand which areas of our work people visiting the website, or reading emails, are interested in.
Recipients of our communications can choose to have their names and addresses removed from our distribution lists by contacting us at any time.
Types of Personal Information we collect and hold
Individuals that interact with EJA for social security assistance and/or advocacy initiatives
We collect such individuals’ Personal Information in the course of our work, for example: each such individual’s name, address, telephone number, email address, date of birth, gender identity, First Nations identity, age, geographic location, health information (including information relating to disabilities), and information relating to financial circumstances and welfare payments.
Staff
We collect Personal Information about staff members and store it in employee records. This may include name; address; telephone number; email address; date of birth; next of kin; employment history; qualifications and experience; details of employment contract; visa status; driving licence; current NSW Working with Children Check clearance results; and relevant banking and financial details.
Volunteers
Personal Information we may collect in relation to our volunteers includes name; address; telephone number; email address; date of birth; qualifications; employment history; interests, skills and hobbies; previous voluntary work; current NSW Working with Children Check clearance results; driving licence; and contact details of referees and next of kin.
Donors and supporters
Personal Information we may collect in relation to our donors and supporters include names; addresses; email addresses; dates of birth; telephone numbers; bank account and credit card detail; details of donations, communications preferences and records of any contact or correspondence donors and supporters have with us.
People who interact with us online (via our website, social media, or by receiving email updates)
Personal Information we may collect in relation to individuals interacting with us online may include name, email address, phone number, demographics, online behaviour, communications preferences, any opinions you provide and details about the information you access.
People who attend an EJA event
Information we may collect in relation to people who register for an EJA event includes name, email address, phone number, communications preferences, company name and any opinions or information you provide.
How we collect Personal Information
We collect Personal Information:
- directly from clients and stakeholders, except where it is impracticable or illegal to do so;
- from you when you correspond with us through email, telephone, letter or fax;
- through social media and our website, for example, if you choose to make a donation, subscribe for updates or visit specific pages; and
- from you when you register for our events.
When we collect Personal Information, we will, where appropriate and where possible, explain to you why we are collecting the information and how we plan to use it.
Where reasonable and practicable to do so, we will collect your Personal Information only from you. However, in some circumstances we may be provided with information by third parties. In such a case we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party.
How we use and disclose Personal Information
We will:
- treat Personal Information as confidential and will only use or disclose it for the primary purpose for which it was collected or for a secondary purpose related to the primary purpose, in circumstances where a person would reasonably expect such use or disclosure;
- release Personal Information to a third party where the person to whom the information relates requests us to do so;
- not share, rent or sell Personal Information collected for EJA’s marketing purposes to any other organisation for their marketing purposes; and
- not disclose Personal Information to other service providers or individuals without the express consent or instructions of the individual to whom it relates.
We may:
- use the Personal Information provided to communicate with you via email, telephone, letter, fax and/or social media;
- share the Personal Information provided with our service providers engaged to carry out communications and marketing on behalf of EJA, or to complete donation transactions;
- deliver targeted messages on social media platforms and identify other people on the Internet who are most likely to support EJA’ work. This may require uploading a list of email addresses to social media platforms of service providers such as Facebook. These lists become encrypted upon upload and this data is not stored or reused by service providers;
- disclose Personal Information to third parties that facilitate our work. These include our contractors, service providers, employees and volunteers; and
- disclose Personal Information without the express consent of the individual to which the Personal Information relates to:
- when we are required to do so by law. This could be in response to a warrant, subpoena, or other court order, the purposes of worker’s compensation or in response to legislative requirements (e.g. under child protection laws); or
- if we believe on reasonable grounds that the disclosure is necessary to prevent or lessen a serious and imminent threat to the life or health of a stakeholder or that of another person.
Sensitive Information
Sensitive Information is defined in the Privacy Act to include information or opinion about such things as an individual’s racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record or health information.
We may collect and hold Sensitive Information of clients, staff and volunteers which is necessary to perform our activities. Sensitive Information will be collected and used by us only:
- for the primary purpose for which it was obtained;
- for a secondary purpose that is directly related to the primary purpose and where you would reasonably expect such use or disclosure; and
- with your consent, or where required or authorised by law.
Security and destruction/deletion/de-identification of Personal Information
We store all Personal Information securely in Office 365 / SharePoint which is subject to 90 days of audits, Proofpoint Data Loss Protection, and is protected by access with 2FA on all accounts. Data is backed up in Datto SaaS which is also protected with 2FA. Your Personal Information (whether it is held in paper, electronic or any other form) is stored in a manner that reasonably protects it from misuse and loss and from unauthorised access, modification or disclosure.
When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy, delete or permanently de-identify your Personal Information.
Access to your Personal Information
You may access the Personal Information we hold about you and to update and/or correct it, subject to certain exceptions. If you wish to access your Personal Information, please contact us in writing.
EJA will not charge any fee for considering your access request, but may charge an administrative fee for providing you with a copy of your Personal Information.
In order to protect your Personal Information, we may undertake identification checks before releasing the requested information.
Maintaining the quality of your Personal Information
It is an important to us that your Personal Information is up to date. We will take reasonable steps to make sure that your Personal Information is accurate, complete, and up to date. If you find that the information we have is not up to date or is inaccurate, please advise us as soon as practicable so we can update our records.
Anonymity
We will give individuals the option of not identifying themselves when completing evaluation forms or feedback surveys where it is reasonably practicable to do so.
Access to our privacy policy
We will:
- take reasonable steps to ensure that stakeholders are aware of our Privacy Policy and its purposes; and
- make the policy freely available on EJA’s website.

We will endeavour to reply to you within a reasonable time following receipt of the complaint and, where appropriate, will advise you of the outcome of the complaint.
